What collection software should actually automate, and how to tell if it's working.
Collection software often gets sold as one feature, "automatic reminders," but the useful version covers the whole loop from the due date to a payment being recorded, not just the notification.
Workflow requirements to verify

Manual Collection vs. Automated Collection
A scheduled reminder can reduce a manual task when supported and delivered, but delivery can fail. Compare a small sample of sent messages, receipts and account updates with staff records. Keep an owner for unresolved cases rather than assuming that automation completes the collection workflow.
The One Number Worth Tracking
Define on-time payment rate as installments paid by the agreed due date divided by installments due in the chosen period. Track reminder activity separately. State how partial payments, disputed accounts and late posting are treated; a change in the rate alone does not prove software caused it.
Where Software Isn't Enough
Disputed receipts, incorrect balances and failed notifications need an assigned person and a documented resolution. Ask the supplier to demonstrate exception handling; do not assume that a product has an automated escalation feature.
